Our Fundraising Auction teams perform task-oriented work that provides a fulfilling experience for the volunteer and boosts First UU Nashville's general fund. As a team member, your time is valuable and will be respected. We will provide training and any information you need to perform your work. Most teams will not require meetings. Some teams will work directly with congregants, and others will not. Each team description indicates an expected time (and timing) commitment from the volunteer.



Volunteer work will be available from late August through early Auction Day.



Below are descriptions of the teams needed to provide a fantastic auction experience for all. Check the boxes of the teams you'd like to assist in the Auction Team section. There's plenty of room to add notes about your availability or other information you'd like us to know in the Notes section.

Team Descriptions and Time Commitments

Event Communications: As part of the communication team, you'll collaborate with the team lead to promote the Auction across our Church Community. This work might include sharing our social media posts, talking with folks during the social hour, or designing a bulletin board. Would you please let us know in the Notes section what your interest and availability are?


Time commitment: 2-5 hours in September and October.


Donation Handling: As a member of the donation handling team, you'll assist congregants with their donations, store items in our holding location, relocate stored items to the Social Hall on Auction day, and/or retrieve items for winning bidders. Would you please let us know in the Notes section what your availability is?


Time commitment: 2-5 hours in October on Sundays or the day of the event (Saturday, Auction Day).


Food Services: On this team, you'll help prepare or serve the menu designed by our experienced team at the Live Auction. 


Time commitment: 2-5 hours the week before or during the Live Auction on Auction Day.


Home-Stay Auction Donations: You'll work with our congregants and other congregations to offer homes for vacationing UUs. You may use our contacts for Home-Stay donations from First UU Nashville and other UU congregations or develop new connections. The Auction Coordinator will provide training and pertinent information.


Time commitment: 2-5 hours in September.


Business Auction Donations: You'll visit local businesses to solicit donations. You may use our contacts from past auctions or develop new connections. The Auction Coordinator will provide training and pertinent information. 


Time commitment: 2-5 hours in late August.


Sponsor Auction Donations: On this team, you'll connect with past Auction sponsors and tell them our sponsorship needs for this year's event. The Auction Coordinator will provide training and pertinent information.


Time commitment: 4+ hours in early September.


Congregant Auction Donations: As a member of the Congregant Donations team, you might contact past donors, speak with congregants about donations on Sunday mornings, or assist a donor in entering their item(s) into our software, Auctria. The Auction Coordinator will provide training and pertinent information. Would you please let us know in the Notes section what your availability is?


Time commitment: 2-5 hours in September and early October, usually on Sundays.


Auction Donation Data: The Donation Data team will work in Auctria, our auction software. This team determines the position of donations in the Online or Live Auction. Additionally, we'll categorize items, determine bidding rules, and clarify and refine the item descriptions. The Auction Coordinator will provide training and pertinent information. Would you please let us know in the Notes section what your availability is?


Time commitment: 5+ hours in early October. Planning/Discussion meetings are required.


Auction Setup and Cleanup: This team will arrange furniture and place decorations as required in the social hall and sanctuary before the Auction. Following the Auction, the team will ready both spaces for Sunday Services by removing decorations, replacing furniture, and cleaning as necessary. You may sign up for setup, cleanup, or both. Time commitment: 2-5 hours on Auction Day.


Auction Tech: This team covers a wide range of tech skills necessary for an online and live auction. The non-specialized work includes event programming, coordinating with the auctioneer, and payment processing. Some positions, however, require specialized knowledge such as audio, video, and photography. Would you please indicate your technical expertise in the Notes section? 


Time commitment: 6+ hours, mainly on Auction Day. A planning meeting and/or rehearsal may be necessary, depending upon the job.


Auction Bid Recording: This team observes the auction, records winning bids on a form, and then submits the bids to the Auction Tech Team for entry into our auction software. The Auction Tech Lead will provide training on the night of the Auction. Would you please indicate your technical expertise in the Notes section? 

Time commitment: 2+ hours on Auction Day.


Auction Registration: This team greets bidders upon arrival at the Auction and assists them with registration within the Auctria software if they aren't already registered. The team will also give Treat Boxes to those who purchased them. The Auction Coordinator will provide training and pertinent information.


Time commitment: 4+ hours on Auction Day.


Auction Hospitality: The Hospitality team will be available to help congregants with any issues they may have. These issues may include finding a bathroom, paying for or picking up their items, or needing assistance with using assistive technology such as the elevator or hearing devices.
